General Terms and Conditions – Seminars & Groups

DEFINITIONS:
The words and expressions below, in the singular or plural, are used herein with the following meanings:

“The Client”, “The Tenant”: Refers to any natural or legal person, company, or organization represented by a manager, who has requested a quote or a firm booking for services for professional or private purposes, or who is residing in our establishment.

The Owner: SAS Le Couarôge, under the trade name “Le Hameau du Couarôge”, located at 83 route de Vologne in LA BRESSE (88250), offering accommodation and room rental services for stays, daily/residential seminars, and private or professional events.

RECEPTION:
1/The handover of keys for your apartment(s) or chalet(s) will take place from 3:00 PM on the day of arrival, unless otherwise agreed by the establishment.
2/Departure must be no later than 10:00 AM on the last day of the rental, unless otherwise agreed by the establishment.

OCCUPATION OF THE PREMISES:
1/The client must ensure the peaceful nature of the rental (accommodation and/or room) and ensure it is used in accordance with its intended purpose.
2/For sleeping arrangements with bunk beds, please note that the upper bed is not suitable for children under 6 years old.
3/The rental agreement concluded between the parties may not, under any circumstances, benefit third parties, even partially, without the Owner’s written consent. Any breach of this clause may result in the immediate termination of the rental at the client’s fault. The rental proceeds shall remain permanently with the Owner.
4/If the number of tenants exceeds the capacity indicated at the time of booking confirmation and without prior agreement, the Owner reserves the right to refuse the additional tenants or terminate the contract.
5/If renting a room for a seminar/meeting/meal, it must be returned in a proper condition upon departure. For apartment or chalet rentals, and only if a cleaning package is included, the accommodation must be returned: tidy, beds stripped, dishes washed, and trash/ashes removed. If no cleaning package is provided, the accommodation must be returned in the same condition as found upon arrival.
6/In case of breakage, damage, missing items, or if cleaning is not done, the Owner reserves the right to charge additional fees.
7/For the well-being and tranquility of everyone, the client must respect the maximum noise time limit set at 10:00 PM by the Owner and must avoid any noise nuisance after this time.

BOOKING:
1/Requests must be made by the client to the Owner in writing.
2/The Owner will send a quote to the client by email, net including tax, with an option expiry date.
3/Upon the client’s agreement, the quote must be returned by email with the mention “Agreed/Accepted” (Bon pour accord) as soon as possible. Before the indicated option expiry date, the deposit amount specified in the quote, corresponding to 30% of the total cost of services, must be paid by check, credit card, or bank transfer.
4/The balance may be paid on-site, or by invoice upon the Owner’s agreement.

CANCELLATION CONDITIONS:
Any cancellation must be notified by letter or email.
1/By the tenant to the owner more than 60 days before the first day of rental: The deposit will be refunded, minus €80 for administrative fees per booked unit.
2/By the tenant to the owner between 59 and 30 days before the first day of rental: The deposit remains with the owner.
3/By the tenant to the owner less than 30 days before the first day of rental: The deposit remains with the owner, and the balance of the rental is due.
4/If the tenant does not show up within 24 hours of the arrival date indicated in this contract: The contract becomes void, the owner may dispose of the property, the deposit remains with the owner, and the balance is due.
5/In case of interruption of the stay by the client: No refund will be granted.
6/By the owner to the tenant (at any time): The owner will pay the tenant double the amount of the sums paid.

Specific Cancellation Conditions:
The deposit will be fully refunded in the event of a new government decision (travel ban/new lockdown). No other reason will be accepted for cancellation. You may also check with your liability insurance or your credit card provider if you paid the deposit with it.

CHARGES:
Electricity, water, gas, and heating charges are included in the rental price for all our accommodations and for any duration. We recommend our clients to ensure windows are closed and lights are turned off when away from the rental.

TOURIST TAX:
Tourist tax is charged as an extra. Payable to the municipality of La Bresse, it is currently €1.10 per day, per person aged 18 and over for all accommodations, except for the “Gîte de Groupe” (Group Lodge), which is classified as 4-star, where the tax is €1.85 per day, per person aged 18 and over.

INTERNET:
The usage charter for the “LE COUAROGE RESIDENTS” network of SAS LE COUAROGE will be displayed at reception. You agree to read and comply with it in its entirety and acknowledge that your equipment, its content, and the use of the “LE COUAROGE RESIDENTS” network are your sole responsibility.

ANIMALS:
Out of respect for everyone, animals must always be kept on a leash while outside on the site. Furthermore, animals must never be left alone in the accommodation or rooms. A supplement of €30 per animal is requested for stays of 1 to 3 nights, and €60 for 4 nights or more.

PARKING:
Free parking (car/bus).

ADDITIONAL SERVICES:
Cleaning products are not included. We provide blankets, pillows, and pillowcases.

ENTERTAINMENT AND ACTIVITIES:
Sauna: €10 per person for a 60-minute session, limited to 3 people.
Ping-pong tables (indoor and outdoor).
Tennis, badminton, petanque, basketball, volleyball (outdoor), disc golf.
Outdoor children’s playgrounds.
Free indoor table football.
Equipment for all accessible activities is available free of charge at reception during opening hours.

COMMON INDOOR AND OUTDOOR AREAS:
Everyone is asked to respect the areas made available by the owner, both indoors and outdoors, and to ensure the proper condition and functionality of any loaned equipment/devices. Any damage found and/or failure to comply with this condition will result in repair or replacement costs to be borne by the client.
